Your strategy deserves
the right technology.
PRODATA develops and integrates loyalty software for customer retention, partner programmes and sales incentives. We combine the ProLoyalty Enterprise Suite with bespoke portals, applications and integrations. Your programme is designed as a connected business process: from participant identity and activity validation to rewards and reporting. Technology makes that process reliable and easier for your team to manage.
Your business needs an architecture that fits, rather than another isolated application. We clarify which system owns each data set, where decisions are made and how participants, sales and service teams work together. This informs a coordinated data model, clear rules and prioritised implementation. Existing applications can be integrated without requiring a complete replacement.
A strong core.
Your individual solution.
Your use case determines the technical design. Standard programme modules provide a reliable foundation, while bespoke extensions support the processes that differentiate your business. We consider maintainability, future changes and collaboration between your teams alongside the initial launch.
Enterprise suite, standalone solution or integrated module
The ProLoyalty Enterprise Suite can be the central framework for your programme. Individual solutions can also be used independently and combined with existing applications. Together we determine which function lies in which system, how login and navigation interact and where data is maintained. This creates a deliberately chosen operating model instead of a random collection of tools.
Rules that reward more than sales
Points, status, campaigns and incentives can recognise different measurable activities, including product registrations, verified training, qualifying referrals and agreed service activities. We define triggers, conditions, validity periods, limits and corrections. Reliable data is essential: events must be uniquely attributable and handled transparently if cancelled or changed.
Model participants and organisations separately
Customer accounts, companies, branches, sales representatives, partners and service teams require different relationships and permissions. We reflect these roles in the design and application. A manufacturer's sales team can support selected key accounts, while a wholesaler includes its own salespeople. Data visibility, approvals and budgets follow agreed responsibilities.
Connect data.
Keep responsibility clear.
An interface delivers value when its business meaning, data quality and error handling are clear. We coordinate master data, transactions, events and responses across the systems involved, giving your IT team a sound basis for technical decisions and ongoing operations.
CRM, ERP and prebuilt connectors
Prebuilt connectors are available for Salesforce, SAP, Microsoft Dynamics and many other systems. We check supported objects, versions and processes against your actual configuration. Additional interfaces and bespoke mappings are developed as needed. Connectors reduce repetitive integration work; aligning data definitions and responsibilities remains part of the project.
Events, synchronisation and error cases
For each process, we determine whether event-driven exchange or scheduled synchronisation is appropriate. Duplicate transfers, missing records, delayed credits and conflicting statuses become explicit test cases. Clear references and traceable processing help prevent duplicate rewards. We define ownership, feedback and controlled reprocessing for exceptions.
Migration without blind data transfer
When migrating an existing programme, we treat participants, consent, points balances, status, history and open transactions separately. We check mappings, data quality and business rules for transfer. A trial migration with control totals and defined samples reveals discrepancies. Cutover timing, communications and rollback are agreed before launch.
Clear procedure.
Concrete results.
Model
Match goals, roles, rules and data flows.
Develop
Configure and specifically expand the platform.
Integrate
Connect systems and business-process handovers.
Validate
Test usage, exceptions and operations.
Improve
Translate insights into controlled releases.
We define objectives, scope and responsibilities at the outset. You receive tangible deliverables and clear decision points. Dependencies involving your teams, systems and partners become visible early, helping you control scope, priorities and investment.
Intelligent processing.
Traceable decisions.
AI can support data capture, matching and processing. We use it where it delivers clear process benefits, alongside business rules and defined exception handling. This enables greater automation while retaining control over participant entitlements and programme rules.
Invoices and product matching
PROLoyalty INVOICE™ captures invoice data and makes product information available to loyalty processes. It supports ZUGFeRD data. Structured information and AI-assisted matching help connect submitted line items to your product catalogue. Agreed programme rules determine whether evidence is sufficient and which reward applies. Unclear cases follow a defined review process.
Quality before blanket automation
We agree which results can be processed automatically and when human review is required. Representative test cases, known exceptions and operational feedback support evaluation. Sensitive processes include approvals and logging. We do not promise a universal recognition rate: performance is assessed against your documents, data and business requirements.
Your objective.
An executable process.
What benefits should be tangible?
Who processes, decides and approves?
How do we see that the process works?
From technical design
to a validated solution.
Our development process connects business teams and IT. Requirements become testable functions, prioritised together and assessed against real usage scenarios. You see interim results and can make decisions before unresolved assumptions affect the entire project.
UX, accessibility and usability
We consider registration, account balances, activity evidence, redemption and help as one connected user journey. Clear feedback and efficient workflows matter as much as a design that fits your brand. Mobile views, keyboard operation, contrast and error messages are checked against the agreed quality scope. Specific accessibility requirements inform design, development and acceptance from the outset.
Testing, approvals and releases
Alongside normal operation, we test boundary values, role changes, cancellations, duplicate messages and missing permissions. Integrations are tested with the responsible system teams. We document acceptance criteria, test data, approvals and release windows. Production launch includes defined owners and rollback measures; enhancements enter live operations through controlled releases.
Security and operational planning
We specify roles, access rights, data flows, deletion rules and operational requirements within the project. We clarify environments, monitoring responsibilities and incident handling. Hosting, availability, recovery and support are agreed around your needs, giving procurement, IT and privacy teams the information required for their reviews.
One programme core.
Locally tailored experiences.
We design international programmes with a shared technical foundation and targeted local variants. Countries, languages, brands, currencies, product ranges and roles are treated as distinct requirements. Each country can address its participants appropriately without every local adjustment changing the entire programme.
Central standards, local control
We define centrally binding rules and locally managed settings, including participation conditions, campaign periods, benefits and support. Data access follows roles and organisational boundaries. A clear approval process protects shared standards while enabling country-specific decisions.
Expand step by step
A pilot can include selected audiences, products or markets. Before further rollouts, we check data quality, usability, process stability and actual usage. Findings inform the next version, developing your organisation's ability to operate the programme reliably as participation grows.
Your project.
Our next step together.
Clarify the starting point
Which audiences, systems and processes already exist? Which tasks should the solution support?
Define the scope
Which services are essential for launch, and which options should follow later?
Define success
What quality standards, timelines and deliverables will we agree?
How we prepare a well-founded proposal
In the initial consultation, we discuss your starting point and the decisions you need to make. Existing programme documentation, audience descriptions and an overview of the systems or partners involved are helpful. You do not need every answer in advance. We structure open questions, identify required contributions and agree next steps. The proposal defines scope, responsibilities and prerequisites. Additional options are clearly separated so you can choose the right combination.
Clarity before you start.
Do we need to replace our CRM or ERP?
No. We design the loyalty solution around your existing systems. Together, we determine which data and functions belong in the CRM, ERP or loyalty system and how the applications will work together.
Is ProLoyalty only available as a full suite?
The ProLoyalty Enterprise Suite can serve as the central platform. Depending on your use case, standalone solutions or integrated modules are also possible. We define the appropriate scope during business and architecture design.
Which prebuilt connectors are available?
Prebuilt connectors are available for Salesforce, SAP, Microsoft, DATEV, HubSpot and many other systems. Versions, data objects and process coverage are checked against your specific environment and extended where required.
Can we also incentivize sales and service?
Yes. Customers, channel partners, salespeople and service teams can participate with distinct roles, objectives and rules. Rewards can recognise agreed measurable activities, not only sales.
How is an existing programme migrated?
We define migration rules for participants, data, balances and open transactions. Trial runs, reconciliation, business acceptance and an agreed cutover plan provide the foundation for migration.
How long does the technical implementation take?
Timing depends on functions, integrations, available data and approvals. After clarifying requirements, we provide an implementation plan with dependencies, milestones and acceptance criteria. Most programmes launch within 6–24 weeks.
